A lead generation company for study abroad consultants in Bangalore earns its fee after the form is submitted. Plenty of firms can buy enquiries; far fewer turn them into attended counselling sessions and opened application files. A student who fills a form at 11 p.m. has usually filled two others the same week, and the consultancy that calls first, asks the right questions and brings the parent in at the right moment is the one that keeps the student.

KaamGPT's Bengaluru team runs lead generation as a pipeline rather than a pile of contacts. For a consultancy that means capturing enquiries from ads, search, webinars and referrals, qualifying each one by intake, course level, destination, test status and funding plan, getting a counsellor on the phone quickly, and following up by stage until the student is ready. Pricing opens at ₹24,999 monthly, and set-up takes roughly a fortnight. This page covers how Bangalore students enquire, the data and messaging rules that apply, and how the pipeline is built.

  • ₹24,999monthly opens a pipeline plan, confirmed in writing once we have seen how enquiries flow today
  • ~14 daysto rebuild forms, bands, routing, call scripts and the first follow-up sequences
  • 18 monthsis the runway the November 2025 DPDP Rules allow before their duties fully bite
  • 5 stagestracked for every enquiry: contacted, qualified, session held, file opened, enrolled

Where do study abroad enquiries get lost?

In most consultancies we look at, the leak is not at the top of the funnel. It is in the hours and days after the enquiry.

  • Slow first calls. Speed to first call is often measured in days, by which time the student has had a session with a competitor.
  • No qualification. Every enquiry gets the same call, so counsellors spend hours on students two years from applying while ready applicants wait.
  • Bought or shared lists. Purchased data and leads resold to several consultancies at once rarely carry valid consent and waste counsellor hours on people who never requested a call from your firm.
  • Parents left out. The student says yes on the call, then the family decides otherwise because nobody spoke to the person paying.
  • No follow-up by stage. A student who was not ready in March hears nothing again, and enrols elsewhere in August.

How would we build the enquiry pipeline for a Bangalore consultancy?

We start by tracing the last hundred enquiries by hand: where each came from, when it was first called, what was asked, and what happened next. That trace almost always reveals the biggest leak, and we fix it before adding any new source.

Then we set the rules. Which enquiries are called within the hour, which within the day, and which are nurtured without a call? Who calls parents, and when? Which counsellor handles which destinations and languages? Written down and agreed with your team, these rules turn a busy phone into a pipeline.

Lead qualification for consultancies also has to respect time. Evening and Saturday slots are protected for working applicants and families, and enquiries that arrive late at night get a WhatsApp acknowledgement with two slot options straight away, so the student is not left wondering whether anyone saw the form.

Call while the student is still on the page

An enquiry called within minutes catches a student who still remembers filling the form. A callback the next day reaches someone who has already spoken to two other firms.

Ask four questions, not fourteen

Intake, course level, destination and test status are enough to place an enquiry in a band. Detailed profile questions belong in the counselling session, not the first call.

Invite the parent early

For undergraduates and many postgraduates, the first call ends with an offer of a family session. Parents who meet a counsellor before the student commits raise fewer objections later.

Recover no-shows the same day

A missed session gets a WhatsApp message and a call the same day with two new slots. Many no-shows are clashes, not lost interest.

Close the loop with sources

Each month, sessions and files are reported back by source, so ad budgets move towards channels that produce students, not just names.

Match the counsellor to the language

Routing considers the language a parent is most comfortable in, as well as the destination. A family that hears the plan in Kannada or Telugu from the first call is easier to bring to a session.

What does a study abroad lead generation plan include?

Each part of the plan answers one question: how does an enquiry become an attended session and an opened file? The order below is roughly the order an enquiry travels through.

Enquiry sources that match capacity

Search, Meta, webinars, your website and referrals are tuned so the volume of study abroad leads in Bangalore matches what your counsellors can call. The full scope sits on our lead generation service page.

Lead generation in detail →

Consent-based enquiry forms

Short forms that ask for intake, course level, destination and test status, with a plain notice explaining what the data is for, who will contact the person and how to withdraw. Consent-based enquiry forms protect both the student and the firm.

Websites in detail →

Qualification bands

Lead qualification for consultancies sorts every enquiry into ready now, next intake, early research, parent-led or not a fit. Each band gets a different call, a different counsellor and a different follow-up.

Lead generation in detail →

Routing and the first call

Enquiries are routed by destination and language to the right counsellor, with a target of a first call within the hour in working time, and a short script that asks the qualifying questions without sounding like a form.

Lead generation in detail →

WhatsApp follow-up by stage

Students who opt in receive messages that match their stage: test-planning tips for early researchers, deadline reminders for applicants, document checklists for those with offers. One reply stops the messages.

WhatsApp campaigns in detail →

Parent email track

Parents who give their email get a short series on costs, loans, safety and post-study work, and an invitation to a family session, written for the person who pays.

Email campaigns in detail →

Pipeline reporting

A weekly view of every enquiry by source and band, time to first call, sessions held and files opened, so the owner can see where students are being lost.

Lead generation in detail →

Webinar and seminar capture

Registrations from country webinars and weekend seminars flow into the same pipeline as forms and calls, with attendance recorded. Students who attended live are called first, because they have already spent an hour with your counsellor.

Why build your enquiry pipeline with KaamGPT?

Pipeline over volume

We judge success by sessions and files, so there is no incentive to flood your counsellors with names.

Consent built in

Forms, records and withdrawal routes are designed around the DPDP Act from the start, not patched later.

Messaging that gets delivered

SMS and calls follow TRAI's rules on headers, templates and number series, so messages reach students instead of being blocked.

Parents in the process

Family calls and a parent email track are standard, because parents usually make the final decision.

One Bengaluru team

We work with your counsellors over calls and WhatsApp and understand the city's campuses, tech parks and family neighbourhoods.

Honest reporting

If a source produces names but no sessions, the report says so plainly, even when it is a channel we run.

How is lead generation priced for an overseas education firm?

The plan fee covers the pipeline work: forms, qualification rules, routing, scripts, nurture sequences and reporting. Advertising that feeds the pipeline is a separate cost, settled between you and the platforms. The written quote names each source, the qualification bands and the reports, and our pricing lists the other services that can feed the pipeline. Here is how each fits a study abroad consultancy.

What does a qualified student enquiry really cost?

The useful number is not cost per lead but cost per attended session, and then cost per opened file. Twenty low-priced names that never pick up are dearer, in the end, than five pricier enquiries who sit with a counsellor this week. We report all three so the comparison is honest.

The biggest cost driver is usually inside the consultancy: how quickly counsellors call, how many evening and weekend slots exist, and whether parents are brought in. Improving those often lowers cost per session more than any change to ad spend.

Seasonality changes the arithmetic as well. In the weeks before major deadlines, ready-now enquiries are plentiful and speed matters most; in quieter months, the same budget is better spent on nurture, webinars and recovering students who went silent earlier in the year.

  • Speed to first call. The faster enquiries are called, the more of them become sessions for the same spend.
  • Counsellor hours. Evening and Saturday availability captures working applicants and families.
  • Source mix. Referrals and search enquiries usually convert better than broad social forms, but cost differently.
  • Destinations offered. Enquiries for countries you do not handle are wasted unless forms and ads filter them out.
  • Data quality. Forms with qualifying questions and verified numbers cut wasted calls.
  • Compliance set-up. DLT registration, consent notices and record-keeping take some time at the start but avoid blocked messages and complaints later.

How does the pipeline get built?

Diagram of how KaamGPT runs Lead generation for study abroad consultants in Bengaluru: Trace past enquiries; Agree bands and rules; Rebuild forms and notices; Set up messaging properly; Report weekly
  1. Trace past enquiries

We follow a recent sample of enquiries from source to outcome and find where most are lost.

  2. Agree bands and rules

Qualification bands, call targets, routing by destination and language, and the parent-call rule are written down with your team.

  3. Rebuild forms and notices

Forms gain qualifying questions and a clear notice of purpose, contact and withdrawal; consent is recorded with each enquiry.

  4. Set up messaging properly

SMS headers and templates are registered on DLT, WhatsApp opt-ins are recorded, and nurture sequences are written by stage.

  5. Report weekly

Every week we show enquiries by source and band, time to first call, sessions held and files opened, and agree the next fix.

Which study abroad businesses need a managed enquiry pipeline?

  • Firms with several counsellorsRouting by destination and language keeps enquiries from piling up with one person.
  • Niche destination consultanciesSmaller volumes make every enquiry valuable, so fast calls and patient nurture matter more than reach.
  • Medical-studies-abroad advisersParent-led enquiries need a family call early and careful, sourced information throughout.
  • IELTS and PTE classes feeding counsellingStudents finishing a batch are warm enquiries; the handover to counselling must be timed and recorded.
  • Postgraduate admissions consultantsWorking professionals need evening calls and quick, specific answers about rounds and deadlines.
  • Loan and scholarship advisersEnquiries arrive after offer letters, so speed and document checklists decide conversion.
  • Undergraduate admissions counsellorsEnquirers are often under eighteen, so forms collect a parent's details and consent first.

Who enquires with Bengaluru study abroad consultancies, and how?

Enquiries arrive from every part of the city, but they fall into a few recognisable groups. Final-year students from campuses in the south, west and centre enquire through Instagram forms, WhatsApp and webinars. Working professionals from the tech parks enquire late in the evening through search ads and call back on weekends. Parents, often living in established family neighbourhoods such as Rajajinagar, Vijayanagar or Jayanagar, call directly once a decision feels close, frequently after a student has already enquired elsewhere.

Large consultancy chains name neighbourhoods across the city, from Nagarbhavi and Yelahanka to Koramangala and Bannerghatta Road, among the areas they serve, and at least one out-of-state firm counsels Bengaluru students entirely by video call. So the student who enquires with you is usually comparing you with someone else that same week. The quality of the first call decides more than the cost of the lead.

Language and timing matter too. Many parents prefer a call in Kannada, Hindi, Tamil or Telugu, and many students cannot talk until after classes or office hours. A pipeline built around a 10-to-6 office day misses a large share of the conversations that would have converted.

How should a consultancy qualify and call a new enquiry?

The enquiries themselves tell you a lot. A form that says "MS, Germany, Fall, GRE done" is a different conversation from "undergraduate, any country, next year, no test". So are the WhatsApp openers: "Is 6.5 bands enough for Canada PG diploma?", "what are your fees", or a parent asking "my daughter wants to do MBBS outside India, can we meet on Saturday?". Each one points to a band, a counsellor and a timing.

Timing within the year changes what a good first call sounds like. An enquiry in the weeks before a deadline needs a session within days and a clear list of documents. One in the quiet months after offers are out is often a student for the next intake, who needs a test plan more than a sales pitch. Counsellors who know the intake calendar can tell the difference within a minute.

The first call has three jobs: confirm the four qualifying facts, answer the question the person actually asked, and book the next step. We script it loosely, so counsellors sound like themselves, and keep it under ten minutes. Students who are ready get a counselling slot; students a year away get a test plan and a place in the nurture track; parents get an invitation to a family session.

Call outcomes are logged in one place with the original source. That simple discipline, repeated every day, is what lets the firm see which channels and which counsellors turn enquiries into sessions.

  • Ready now: intake within about a year, test taken or booked. Call within the hour; offer a session within days.
  • Next intake: interested but further out. Call the same day; send a test plan; nurture monthly.
  • Early research: a year or more away. Invite to webinars; nurture by email and WhatsApp with consent.
  • Parent-led: a parent is enquiring for a son or daughter. Offer a family session with the student.
  • Not a fit: destination or course not offered. Say so politely and point them to a better resource.

What does the DPDP Act require of a study abroad enquiry form?

Every enquiry form collects personal data, and the Digital Personal Data Protection Act, 2023 sets the terms. Under section 5, a request for consent must come with, or after, a notice describing the data, the purpose, how the person can exercise their rights, and how they can complain to the Data Protection Board. Section 6 adds the quality test: the student must agree freely, knowing exactly what for, without conditions attached, by a positive act such as ticking an empty box; the firm may collect only what that purpose needs; and the student can change their mind whenever they like.

In practice, DPDP compliant student data starts with a short form and a plain notice beside it: we will use these details to contact you about studying abroad and to arrange counselling; a counsellor from our team will call or message; you can ask us to stop at any time. A pre-ticked box does not meet the standard, and nor does burying the purpose in a long policy.

Purposes beyond counselling need their own consent. Sharing a student's details with a university, an education-loan provider or a partner consultancy is a different purpose from calling them back. The DPDP Rules came out on 14 November 2025, give organisations a year and a half to comply, and call for standalone, clear consent notices, so separating these purposes now saves rework when the obligations take full effect.

Records matter as much as wording. For every enquiry, the pipeline stores when consent was given, through which form, against which notice version, and any later withdrawal. If a student or the Data Protection Board ever asks, the consultancy can show exactly what the person agreed to.

How should enquiries from students under eighteen be handled?

Many undergraduate enquiries come from Class 11 and 12 students, who are usually under eighteen and therefore children under the DPDP Act. Section 9 says a firm must have a parent's checkable agreement before it handles such a student's details, and must not follow, profile or aim ads at minors. The Act's schedule allows fines as high as ₹200 crore when those child-specific duties are broken.

The workable approach is to make the parent the enquirer. Undergraduate forms ask for the parent's name and number first and the student's details second, with the parent's consent recorded. Counsellors who receive a direct message from a school student reply by inviting the parent into the conversation before collecting more. Data from under-eighteens is kept out of advertising audiences and remarketing entirely.

Counsellors also need a simple rule for what to do when age is unclear. If an enquirer mentions Class 11 or 12, or a school name, the counsellor treats the enquiry as parent-led from that point, asks for a parent's contact, and pauses any automated follow-up until the parent has agreed to it.

What do TRAI's 2025 rules change for SMS and calls to students?

Texts and phone calls to enquirers are regulated by TRAI's commercial-communication rules, known as the TCCCPR. The February 2025 amendments tightened them. Promotional calls must come from 140-series numbers, service and transactional calls from the 1600 series or another designated series, and ordinary ten-digit numbers are restricted for telemarketing. SMS headers and templates must be registered on the operators' DLT platforms, and headers now carry a suffix showing whether a message is promotional, service, transactional or from government.

Consent rules also changed. Promotional messages must include an option to opt out. Once someone opts out, a sender may not ask for consent again for 90 days. Consent given for an ongoing transaction lasts only seven days. For a consultancy, that means a callback the student asked for is part of their request, but a promotional SMS blast to last year's enquiries is not. Senders found in repeated violation can lose all their telecom resources, so registration and records are worth getting right at the start.

WhatsApp is governed separately by Meta's business rules, but the same spirit applies: write only to students who opted in, name your consultancy in the first line, and make leaving a one-word reply. A consultancy that follows those habits across SMS, calls and WhatsApp rarely meets the complaint thresholds that trigger action.

What should the best lead generation company for study abroad consultants in Bengaluru measure?

A good pipeline report fits on one screen and points to one fix each week. These are the numbers we put on it.

Read together, these numbers usually point to a single bottleneck in the counselling pipeline, whichever intake it serves. Slow first calls, low contact rates or high no-show rates each have a different fix, and the report should name the one we are working on that week.

  • Enquiries by source and by qualification band.
  • Median time to first call, and the share of enquiries called within the hour, shown as a count.
  • Contact rate: how many enquiries were actually reached.
  • Sessions booked and attended, by band and by counsellor.
  • Files opened and enrolments, by original source, per intake.
  • Opt-outs and complaints, which show whether follow-up is respectful.

Frequently asked questions

28 answers
Is there a Bengaluru lead generation company that specialises in study abroad consultancies?

KaamGPT's Bengaluru team builds enquiry pipelines for consultancies alongside other service businesses. Our wider approach to lead generation is described in our <a href="/best-b2b-lead-generation-agency-in-bengaluru">guide to lead generation in Bengaluru</a>; this page explains what changes for study abroad firms, from parent calls to consent for under-eighteens.

How fast should a study abroad consultancy call a new enquiry?

Inside sixty minutes on a working day, and before the evening ends for late enquiries when a counsellor is free. Students usually contact several consultancies in the same week, and the first useful conversation tends to set the comparison. A next-day callback often reaches someone who has already booked elsewhere.

Can a consultancy buy student data for lead generation?

It is a poor idea and a legal risk. Under the DPDP Act, 2023, consent must be specific and informed, given for a stated purpose. A purchased list rarely carries consent to be contacted by your firm, and leads resold to several consultancies at once waste calls. We do not buy or sell student data.

What consent does a study abroad enquiry form need under the DPDP Act?

A plain notice beside the form explaining what data is collected, why, who will contact the person, how to withdraw and how to complain, followed by a clear affirmative action such as an unticked box or a submit button with that text. The agreement has to be freely given, purpose-specific and unmistakable.

How much does lead generation cost for overseas education consultants in Bangalore?

Pipeline plans are priced upwards of ₹24,999 monthly, with roughly a fortnight of set-up. Whatever you spend on Google or Meta ads to feed it goes to those platforms, outside our fee. The written quote lists sources, qualification bands, nurture sequences and reports, so a Bangalore consultancy knows what is included before work starts.

Which number series must consultancies use for promotional calls?

Under TRAI's February 2025 amendments, promotional calls must come from 140-series numbers, and service and transactional calls from the 1600 series or another designated series. Ordinary ten-digit numbers are restricted for telemarketing. A counsellor returning a call the student requested is a different matter from a promotional campaign.

How should consultancies handle enquiries from students under eighteen?

Treat the parent as the enquirer. The DPDP Act requires verifiable parental consent before processing a child's data and bars targeted advertising directed at children. Take a mother's or father's number before the student's, log when they agreed, and never feed a minor's details into ad audiences.

What questions should we ask on the first call with a student?

For a study abroad enquiry, four are enough to qualify: which intake, which course level, which destinations, and where they are with tests. Then answer the question they actually asked, and book the next step. Detailed questions about marks, finances and goals belong in the counselling session.

Do you make the calls or do our counsellors?

Normally your counsellors make the calls from your Bengaluru office, because students want to speak to the person who will advise them. We design the routing, scripts, reminders and reporting, and monitor time to first call. If you want us to handle first-contact calls, that is agreed and priced separately in writing.

How do you stop counsellors wasting time on students who are years away?

Qualification bands. Study abroad applicants more than a year from applying go into a nurture track of webinars, test planning and occasional messages, with consent, rather than a long sales call. Counsellors spend their hours on ready and next-intake students, and early researchers are called when their timing changes.

When should parents be brought into a study abroad enquiry?

Early. For Bengaluru undergraduates heading abroad, the parent is usually the enquirer. For postgraduates, offer a family session at the end of the first call. Parents who hear the plan, costs and loan options from a counsellor directly raise fewer objections later, and they are often the ones who confirm the deposit.

Can we send bulk SMS to last year's enquiries?

Only within TRAI's rules: registered headers and templates on DLT, an opt-out option in promotional messages, and no message to people who opted out. Consent given for last year's enquiry may not cover new promotions. A short, consent-based WhatsApp or email to people who opted in is usually the better route.

What is a reasonable show rate for counselling sessions?

For study abroad counselling it varies by source and season, so we measure yours rather than quote a benchmark. Reminders the evening before, a WhatsApp message on the day and same-day recovery calls for no-shows usually improve it. Track it per source, because some channels book many sessions that never happen.

Where do the best study abroad enquiries in Bengaluru come from?

It depends on the firm, which is why we trace your own past enquiries first. Referrals from alumni, search enquiries near a deadline and webinar attendees often convert well; broad social forms convert less but cost less. The pipeline report shows which sources produce sessions and files for your Bengaluru consultancy.

Should our forms ask for a student's budget?

Not in that word. On a study abroad form, ask about funding plans in broad options, such as family savings, education loan or undecided, if it helps route the enquiry. Detailed financial questions belong in the counselling session, where a counsellor can explain why they matter and how the information will be used.

Can enquiries be shared with universities or loan partners?

Only with consent for that specific purpose. Contacting a student about counselling is one purpose; passing their details to a university, lender or partner firm is another. The DPDP Act requires consent to be specific, so the form or a later step must ask separately and record the answer.

How long should we keep enquiry data?

For a Bengaluru consultancy, as long as the purpose needs it, and no longer. The DPDP Act requires data to be erased when consent is withdrawn or the purpose is served, subject to legal retention needs. A simple rule, such as reviewing inactive enquiries after a full intake cycle, keeps your records lean and defensible.

What happens when a student asks us to stop contacting them?

Stop, record the withdrawal, and remove them from WhatsApp, email and SMS lists. Under the DPDP Act consent can be withdrawn at any time, and TRAI's rules bar asking an opted-out person for consent again for 90 days. Make the opt-out easy, and the people who stay will be the ones worth calling.

Can lead generation work alongside our existing ads?

Yes. Most of the gain usually comes from better handling of the enquiries ads already produce. Our <a href="/best-google-ads-agency-for-study-abroad-consultants-in-bengaluru">search-ads guide for consultancies</a> and <a href="/services/meta-ads">Meta Ads management</a> can feed the pipeline, or we can work with the agency you already use.

How do you measure lead generation for a study abroad firm?

By attended sessions and opened files per source, not by enquiry counts alone. We also report time to first call, contact rate and opt-outs. Together they show whether more spend, faster calls or better qualification is the next fix for your counselling team.

Is WhatsApp follow-up allowed for study abroad enquiries?

Yes, for people who opted in to WhatsApp messages from your firm. Keep messages relevant to the student's stage, identify your consultancy clearly and let people stop with one reply. Broadcasting to numbers without an opt-in invites blocks and reports that can get the business number restricted.

What should the best lead generation company for study abroad consultants in Bengaluru refuse to do?

Sell you shared or purchased leads, send messages without consent, contact under-eighteens without a parent, or report success as a count of names. A partner that measures sessions and files, and builds consent into the forms, protects both your students and your reputation.

Do you also run full marketing for consultancies?

Yes. If you want the whole intake calendar planned, our <a href="/best-digital-marketing-agency-for-study-abroad-consultants-in-bengaluru">overview of marketing a consultancy across every channel</a> explains it. Many firms start with the pipeline, because fixing follow-up makes every later marketing rupee go further.

What happens first if our consultancy hires KaamGPT for its pipeline?

Dial +91 79767 82366, or share last month's enquiry sheet on WhatsApp with names and numbers stripped out. We will trace where students are lost, suggest qualification bands and call rules, and send a written quote before anything begins.

Does a lead generation company for study abroad consultants in Bangalore need access to our CRM?

We need enough access to see each enquiry's source, band and outcome, usually view or limited edit rights in your CRM or a shared sheet. We agree in writing what we can see, keep data in your tools, and do not export student details elsewhere.

Can lead generation help a single-country study abroad specialist?

Yes, often more than a large firm, because every enquiry is valuable when volumes are smaller. Fast calls, a clear test plan for early researchers and patient nurture mean fewer students drift away between enquiry and session.

Do webinar registrants count as study abroad leads?

Yes, as early-stage leads with consent to be contacted about the webinar. Those who attend live are usually warmer than form fills and are called first. Registrants who did not attend get the recording and one follow-up, then move into the nurture track rather than repeated calls.

How do you handle Bengaluru enquiries that arrive late at night?

An automatic WhatsApp acknowledgement, for people who opted in, confirms the enquiry was received and offers two session slots for the next day. The counsellor calls at the start of the next working session. Students who enquire after work in Bengaluru often prefer that to a call at 11 p.m.
