There is usually nothing to move. My Company Email reads the same IMAP mailbox your webmail or desktop client already uses, so existing folders and history appear once the mailbox connects, recent mail first and older mail filling in behind. Folders called Junk, Spam or INBOX.spam are all recognised as junk. People can keep Outlook open alongside it; both see one mailbox.

What happens to a mailbox when an employee leaves the company?

Suspend it on their last day so KaamGPT stops syncing it, while the address still exists on your mail server for handover. Removing the mailbox later deletes only KaamGPT's copy; the mailbox on your server stays until you remove it there. If a legal hold is active, mailboxes cannot be removed at all. Change the password at your mail host as well.

Can I undo a sent email or schedule one for later?

Yes. By default a message waits 15 seconds after you press Send, and Undo during that window returns it to your drafts. You can also choose a time for it to go out later and cancel a scheduled send the same way. If your mail server refuses a message, the outbox shows the server's reason and retries automatically.
